I know this sounds silly but I'm looking for information about the state icon. I looked around and can't seem to find a clear explanation.
How are they set, why I would want to use them?

State Icon
Personally I do not use state icons but I think they are easy to use:
1.
Take care that you have checked the box for the option "Show state icons in the tree" (I think by default it is checked anyway.)
You can find it under Files --> Properties & Security --> tab "Appearance":

In the Help file you find in the Glossary an explanation about the state icons:
The place from where you can add a state icon is a tiny grey arrow pointing downwards, left of every document title (plus left of document icon) in the tree. (It is only visible when you have activated the option mentioned in 1.!)
When clicking on this arrow the popup list (dropdown list) opens from which you can choose a state icon (or customize them or look for more such icons):
It depends on your personal preferences if and which icons you would like to use in order to label certain documents.
